Start With the Scope, Not the Drawings
The quality of a submission depends on having a defined scope. Before plans are prepared, establish what is changing and why. A pool that is losing water may need waterproofing repairs, but it could also have damaged pipework, failed fittings, or an issue within the balance tank. A request to replace old lights may appear simple, yet the condition of underwater cabling, junction points, transformers, and access routes must be checked.
This early review separates cosmetic work from changes that affect the pool system. It also prevents a common problem: drawings that show the intended appearance but do not explain how the mechanical and electrical systems will function.
A proper scope should identify the existing pool type, operating condition, current circulation arrangement, proposed materials, equipment to be retained, and equipment to be replaced. Start with accurate site information. This may include current pool dimensions, depths, deck levels, drainage points, plant room layout, equipment locations, access paths, and photographs of affected areas. If original drawings are unavailable or do not match the site, conduct a measured survey before design work progresses.
Old pools often contain hidden conditions. Pipes may have been rerouted during previous repairs, equipment may have been replaced with different capacities, and electrical provisions may not match current usage. Recording these conditions early is more efficient than revising drawings after demolition has started.
Proposed architectural and structural drawings
Architectural drawings should show the pool, surrounding deck, access points, finishes, railings where applicable, drainage falls, and relevant site interfaces. If work affects the pool shell, retaining elements, planter-adjacent structures, or deck slabs, structural details may also be needed.
For example, changing a pool edge detail or converting from an overflow arrangement to a skimmer system is not only a visual decision. The modification can affect water levels, waterproofing terminations, drainage behavior, and the pool wall detail. The drawings must show how the new system connects to the existing structure.
Mechanical and electrical information
The M&E portion is where many submissions become incomplete. It should describe circulation flow, pump and filter capacity, pipe sizing, valves, make-up water provisions, drainage, and plant room arrangements. For heated pools or jacuzzis, include heating equipment and control provisions.
Electrical information should cover lighting, power supply, control panels, bonding and earthing arrangements, cable routing, isolation points, and protective devices. Underwater lighting is a specialized installation. A replacement LED fitting may require changes beyond the fixture itself, particularly when existing cables have deteriorated or the original installation does not support the new equipment safely.
The level of detail should match the work. A like-for-like equipment replacement may require less design coordination than a pump system relocation, but both still need enough information to demonstrate safe operation and maintainable access.
Coordinate the Pool Plant Room Early
A plant room is often the deciding factor in whether a pool upgrade remains straightforward or becomes a larger project. There must be adequate room to remove filters, service pumps, access valves, inspect pipework, and work safely around electrical components. Equipment that technically fits but cannot be maintained is not a successful design.
When pumps are being relocated or filtration systems upgraded, review pipe routes, invert levels, floor drainage, ventilation, power capacity, noise considerations, and access for future replacement. Commercial facilities should also consider how maintenance staff will isolate equipment during servicing without shutting down every part of the system.

Include clear details for finishes, level transitions, drainage direction, access features, and lighting locations. If the pool remains open during phased work, the submission and work plan should identify temporary barriers, protected routes, dust control, noise controls, and safe separation from active construction areas.
There are trade-offs. Retaining an existing deck may reduce cost and shorten the closure period, but only if its substrate, drainage, and finish condition are suitable. Replacing a larger area can provide a more durable result, although it may require more coordination and a longer operational shutdown. The right choice depends on the condition of the facility, available budget, and expected years of service after the upgrade.
Build a Submission Schedule Around Real Decisions
Many project delays happen before any work reaches the site. The owner may approve a concept, then change tile selections, equipment capacity, or the desired finish after drawings are prepared. Each change can affect specifications, calculations, coordination, and approval timelines.
Set decision dates for material selections, pool finishes, lighting, equipment models, and operating requirements. Where alternatives are being considered, compare them early based on service life, maintenance needs, availability, and compatibility with the existing pool. The lowest initial price is not always the lower operating cost.
